Job Description

Duties & Responsibilities

This position provides general administrative assistance to the Executive Director of Administration, as directed, including support for the TWUMC Foundation.  Duties may include, but are not limited to the following:

  • Schedule and arrange events and meetings, including arranging media support, food service, space and resource booking, nursery, and event registrations
  • Prepare and run reports from church information systems to respond to data requests as needed
  • Prepare large mailing distributions using spreadsheets and mail merge functions
  • Draft communications, including thank you notes, donor correspondence, meeting notes, and giving materials
  • Edit correspondence and ensure document accuracy
  • Maintain databases and filing systems, whether electronic or paper, for retention of items such as thank you notes, donor correspondence, meeting notes, and giving materials
  • Perform basic bookkeeping, including reconciling credit card statements, tracking receipts, and budget preparation
  • Provide support for Generosity and Foundation activities and events
  • Provide content for publishing to website and church publications
  • Communicate with lay leaders and volunteers
  • Order, copy, and/or update materials, handouts, books, and relevant supplies
  • Set up and clean up meeting rooms and hospitality items (coffee, snacks)
  • Maintain the director’s appointment calendar
  • Answer telephone calls and emails
  • Handle incoming and outgoing mail
  • Order office supplies or other items upon request
  • Other duties as assigned

Work Schedule

Part-time (15-20 hours/week), non-exempt/hourly, weekday work schedule, located at the Main Campus.  Limited weekend or evening hours may be required for special events.  

Skills Required

Qualifications

  • Excellent interpersonal and communication skills, both oral and written
  • Highly professional demeanor; experience handling sensitive information with utmost discretion
  • Strong skills in preparing and managing databases and reports/spreadsheets
  • Experience with Microsoft Office software, including Outlook, Word, Excel and Powerpoint required
  • Demonstrated experience with customer/donor databases and event scheduling software
  • High school diploma
