Local Missions Administrative Assistant
Summary: This individual is an administrative professional effective in planning, prioritizing, and executing tasks in a timely manner as well as building and maintaining strong relationships both internally and externally.
Essential Functions: Provides administrative support to the Director of Local Missions in support of ongoing activities and special events. This includes:
Relational
- Maintain exposure of local missions through social media by managing all social media channels of the Missions Ministry
- Attend occasional Local Missions activities to observe and experience the events
- Attend Mission Committee meetings, staff meetings, and other trainings as required
- Support Local Missions leaders or groups to ensure completion or success of activity
- Cultivate and maintain relationships with supported partner ministries, meeting with them as necessary
- Communicate with new members; help them find their preferred place of service
- Communicate with local ministry partners and volunteers to coordinate meetings, volunteer requests, and resource requests
- Coordinate Society of St. Stephen Ministry Volunteers and help them obtain needed resources
- Support the Director of Local Missions in collaborating with Missions personnel in other areas of the church (Rebelbase, Church at Woodforest, Next Gen Kids) to create seamless operations
- In collaboration with the Director of Local Missions, coordinate disaster related responses with local mission partners and governmental agencies
- Collaborate with Creative Services on promotion of local Missions events and projects, website development and maintenance
Operational
- All administrative duties such as computer work, copies, distribution, correspondence, travel related to local missions, meeting coordination, Missions Conference, and record keeping
- Create and maintain volunteer registrations
- Create and publish the Missions weekly e-news
- Manage requests and assignments for meeting rooms; coordinate with Facilities to ensure rooms are ready for meetings and events
- Process expense reports for ministry volunteers and, as requested, the Director of Local Missions
- Schedule meetings for Director of Local Missions, as requested
- Review budget and bring relevant items to the attention of the Director of Local Missions or the Pastor of Missions
- Prepare and present reports as requested by the Director of Local Missions or Pastor of Missions
- Perform background checks on volunteers
- Ensure Safe Sanctuary requirements are fulfilled by volunteers who work with children or vulnerable adults

- Position Type: Full-Time
- Schedule: As is typical for ministry, this position requires a flexible schedule. It includes agreed upon onsite office hours, Sunday services, occasional Saturday services, evening activities
- Compensation: Dependent on experience

Qualifications:
- Exemplify the core values of TWMC
- Proven verbal and written skills and be able to serve as primary contact for the ministry, both by phone and email
- Working knowledge of computing and databases, MS Office suite
- Ability to learn specialty church systems
- Able to meet church constituents in public forum
- Flexibility to multi-task and support multiple functions
- Ability to take independent action as required
- Being a team player is essential
