The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e., organization of inbound and outbound mail, administrative work, and general clerical support).
• Answer and direct phone calls
• Act as first point of contact for visitors & provide office guests with a hospitable experience
• Create, mail, &/or route all incoming and outgoing correspondence including certifications, faxes, letters, transmittals, reports, etc.
• Coordinate scheduling of inspections, client meetings, and management
• Issuing Letters of Compliance
• General bookkeeping including invoicing, accounts receivable, client information, and follow up on overdue invoices
• Create & maintain files & databases for Jobs and Contacts (Physical & Digital)
• Supply monitoring (Kitchen & Office Supplies)
• Office Cleanliness
• Prepare Sign In/Out Log on daily basis
• Prepare all engineered plans for departure from office (Printing, Stapling & Binding)
• Scan and Copy Engineered plans into electronic system
• Perform other job-related duties as assigned


• High school diploma required; college degree preferred
• Microsoft Office experience is required
• Microsoft SharePoint experience is desired but not required
• QuickBooks experience is desired but not required
• Great communication skills, reliability, and quick learning ability are a must
• Ability to work in fast-paced environments
• Team player, proactive
• Pleasant personality
