Job Summary
The Operations Assistant ensures the winery runs like a well-oiled machine. You are the primary problem-solver for the owner, with a mind set moving between the office tasks, farmers market rep, customers visits, wine deliveries, oversee staff, kitchen help as required, and tastings expert. You are to replicate the owner. Full training will be provided. During owners meetings, you will not just take notes; you stay behind to make sure the decisions made in those meetings are executed.
Key Responsibilities: Hands-On & Operational
• Facility Management: Walk the property weekly to spot maintenance issues before they become expensive problems.
• Bottling Schedules: Plan and coordinate with management bottling sessions. Be participant, get engaged in that duty and once fully trained, you will coordinate, plan and execute the sessions.
• Supply Chain & Inventory: Maintain inventory of everything, from glass and corks to cleaning supplies and food. Conduct physical inventory counts of wines in stock, bottled and bulk.
• Wine Club & other Party: Oversee the setup of events or wine club pickup parties. Ensure the physical space matches the brand’s standards.
• Regulatory & Safety Compliance: Ensure OSHA posters are up, fire extinguishers are current, and safety protocols are followed by all staff.
• 'Fix-It' Mentality: Be ready to troubleshoot a POS system, help move wine boxes, labeling, restock or jump behind the tasting bar as required. You will be doing as the owner do and will be representing the brand.
• The 'Swiss Army Knife' Factor: You need a mix of mechanical common sense, tech-savviness, and high-end hospitality skills.
• Physical Stamina: This isn't a desk job. You’ll be on your feet, lifting cases of wine (40+ lbs), and helping any other crew, as well as managing them.
• Crisis Management: The ability to stay calm when a cooling unit fails.
• “No drama”
• Software Agility: Comfortable with winery-specific tech like label designer as required.
Ideal Candidate Profile
Someone with 3+ years in operations managament, or a very organized person ready to learn the wine industry. The candidate does not need to be a winemaker, but need to know enough about processes to anticipate what the owner needs three weeks before they ask for it.
Your background should be impeccable. You will have to pass food handling License and TABC alcohol permit.
