About Children’s Safe Harbor: The Montgomery County Children’s Advocacy Center dba Children’s Safe Harbor (CSH) is a nationally accredited Children’s Advocacy Center (CAC) serving Montgomery, San Jacinto, and Walker Counties. Position Title: Financial Coordinator Reports To: Executive Director & Board Treasurer
Location: Children’s Safe Harbor (Conroe, TX)
Status: Part-Time, Non-Exempt
Position Summary: The Financial Coordinator is responsible for ensuring the integrity, accuracy, and strategic use of Children’s Safe Harbor’s financial data. This position supports organizational sustainability by maintaining accurate book-keeping and financial records, managing complex grant-funded financial structures, producing timely and accurate financial analyses, and strengthening financial systems to support growth, compliance, and transparency. Working closely with the Executive Director and Leadership Team, the Financial Coordinator provides detailed financial reporting, grant analysis, budgeting support, and audit coordination while ensuring compliance with nonprofit accounting standards and grantor requirements. This role is critical in supporting informed decision-making, stewardship of donor and grant funds, and long-term financial planning.
Major Duties Include:
Financial Management & Analysis
● Maintain accurate and timely financial records in QuickBooks, including contracts, grants, revenue, and expenses.
● Allocate revenue and expenses across multiple funding sources, including restricted and unrestricted funds.
● Prepare monthly grant-level Profit & Loss statements, budget-to-actual reports, and variance analyses for leadership review.
● Maintain and reconcile the chart of accounts and class structure to support grant tracking and reporting.
● Monitor grant expenditures to ensure compliance with approved budgets and funding timelines.
● Perform monthly bank reconciliations and balance sheet account reconciliations.
● Prepare monthly, quarterly, and year-end adjusted financial statements.


Grant & Contract Compliance
● Review grant and contract budgets for accuracy, allowability, and compliance with funder requirements.
● Submit monthly and periodic financial reports to grant management organizations.
● Maintain grant budgets and support preparation of annual and renewal grant submissions.
● Track staff time allocations and ensure payroll costs are properly charged to grants.
● Maintain documentation to support CACTX, HHSC, federal, and private grant audits.

Payroll & benefits Administration
● Process bi-monthly payroll and ensure accurate reporting of salaries, fringe benefits, and grant allocations.
● Manage payroll reporting, retirement plan contributions, and monthly benefit reporting.
● Update time-tracking systems (e.g., ClickTime) to reflect accurate grant allocations.
● Serve as a resource to staff regarding payroll and benefit-related questions.

Donor & Asset Management
● Maintain donor contribution logs, including cash and in-kind donations.
● Coordinate acknowledgment letters for donors in accordance with IRS requirements.
● Monitor grant expenditures to ensure compliance with approved budgets and funding timelines.
Audit & Board Support
● Serve as the primary financial contact for the annual independent audit.
● Prepare schedules, documentation, and supporting materials for auditors.
● Assist with year-end close and audit adjustments.
● Support the Executive Director in preparing financial reports and presentations for Board meetings.
Operational & Administrative Support
● Approve and track office supply purchases and maintain monthly supply logs.
● Coordinate with insurance brokers, benefits providers, and other financial vendors during annual renewals.
● Assist donors, grant managers, and external partners with financial documentation requests.
● Participate in staff meetings related to organizational finances, United Way campaigns, and funding initiatives.
● Perform other financial and analytical duties as assigned.

Preferred Qualifications:
● Bachelor’s degree in Accounting, Finance, Business Administration, or a related field required.
● Minimum of 3–5 years of nonprofit accounting or financial analysis experience preferred.
● Demonstrated experience managing grant-funded programs and restricted funds and not-for-profit or governmental accounting.
● Proficiency in QuickBooks required.
● Proficiency in Donor software’s preferred.
● Advanced proficiency in Microsoft Excel (pivot tables, formulas, budget analysis).
● Experience supporting audits and grantor financial reviews.
● Exceptional attention to detail, analytical thinking, and organizational skills.
● Ability to manage multiple deadlines while handling highly confidential information.
● Strong understanding of nonprofit financial reporting, compliance, and audit processes.

Skills Required

Compensation:

Pay: $25.00 - $35.00 per hour
