Essential Duties & ResponsibilitiesAdministrative Support
Assist in calendar management for President & CEO (resolving conflicts, scheduling/rescheduling, and planning).
Manage office/kitchen supplies, business cards, nametags, and office equipment.
Submit mileage and expense check requests for President & CEO.
Process incoming deposits and donations with daily mail.
Assist with donor data entry.
Manage coordination of staff birthdays, anniversaries, and appreciation events.
Assist with research, compiling data, and creating presentations.
Provide administrative support to the Executive Leadership team as needed.
Board of Directors
Keep updated Board of Directors list and contact information.
Serve as point of contact for Board of Directors.
Coordinate and distribute Board packets including agendas, reports, and other materials, and prepare Board notebooks for meetings.
Oversee setup and breakdown for Board and all other Executive meetings, including arranging meals/locations.
Coordinate Events as Assigned
Maintain list of community and faith partners.
Plan/coordinate annual meeting.
Coordinate Board and staff retreats.
Coordinate other events as assigned.
Coordinate and assist in department/organizational events.
Stewardship & Community Representation
Serve as an ambassador for the organization at community functions, outreach events, and donor/partner engagements, ensuring professionalism and alignment with the organization’s mission and values, as needed.
Assist in tracking donor and partner engagement activities, preparing correspondence, and ensuring timely follow-up communications.
Help maintain positive community relations by fostering meaningful connections and sharing the impact of the organization’s programs and services.

Physical Demands and Work Environment
Requires ability to stand and/or sit for long periods of time, walking, standing, bending, squatting, pulling, and pushing; ability to lift and carry items up to 30 pounds.
The Executive Coordinator provides comprehensive administrative support to the President & CEO, including managing calendar, handling correspondence, coordinating events, maintaining employee files, and assisting with basic administrative tasks — all while contributing to the overall success of the organization and representing it with professionalism in the community.
