Position Title: Scheduling and Data Specialist
Reports To: Program Director
Location: Children’s Safe Harbor (Conroe, TX)
Status: Full-time, Exempt
Participation in rotating on-call schedule required.

Position Summary: The Scheduling and Data Specialist supports the mission of Children’s Safe Harbor by coordinating forensic interview scheduling, maintaining accurate case and partner data, and supporting efficient multidisciplinary (MDT) operations. This position serves as the primary point of contact for scheduling requests and helps ensure appropriate MDT partners are notified, informed, and present as needed for scheduled forensic interviews. The Scheduling and Data Specialist participates in a rotating on-call schedule to provide support for after-hours and weekend forensic interview services.
The Scheduling and Data Specialist is responsible for timely data entry, maintaining organized records and tracking systems, and promoting smooth day to day operations through strong communication and attention to detail. This position may also assist leadership with reports, data summaries, and information needed to support informed decision making, program planning, and operational effectiveness.
Major Duties and Responsibilities:
Scheduling and Coordination
Receive and process referrals from MDT partners for forensic interview appointments.
Coordinate with law enforcement, CPS, prosecutors, and other MDT members to ensure awareness and attendance at scheduled interviews.
Gather and review all required documentation related to each interview request.
Manage and monitor the forensic interview calendar, troubleshooting scheduling conflicts and reschedules as needed.
Maintain accurate and updated MDT partner contact information within spreadsheets and agency databases.
Provide orientation to new MDT partners and staff on the role of CSH and the interview scheduling process.
Support front office coverage when needed, assisting with phones, visitors, and general reception duties.
Participate in department and staff meetings to strengthen communication and coordination.
Data Management and Reporting
Enter and maintain accurate records within the agency’s cloud-based case tracking system and related databases.
Review records for completeness, accuracy, and timely entry; identify and correct discrepancies as needed.
Generate routine reports, spreadsheets, and data summaries for leadership and departmental use.
Assist leadership with compiling data for grant reporting, audits, accreditation, and operational needs.
Track trends related to referrals, scheduling volume, response times, and partner participation.
Maintain organized electronic files, spreadsheets, and data systems to support efficient operations.
Ensure confidentiality and secure handling of sensitive client and case information.
Participate in the on-call rotation with other CSH staff to respond to urgent scheduling needs outside of regular business hours.
Work Schedule and On-Call Requirements
Regular business hours are Monday through Friday, with participation in a rotating on-call schedule required.
On-call responsibilities include providing support for after-hours and weekend forensic interview services as needed
Must be able to respond in a timely manner when assigned on-call coverage.

Qualifications
High school diploma required; Associate’s degree in social work, human services, or related field preferred.
Experience in scheduling, administrative support, databases, case management systems, or cloud-based tracking platforms preferred.
Strong proficiency in Microsoft Office, Google Workspace, and ability to learn internal software systems.
Strong verbal and written communication skills.
Excellent organizational skills and ability to manage multiple priorities in a dynamic environment.
Exceptional customer service and interpersonal skills, with the ability to interact professionally with MDT partners, staff, and families.
Ability to maintain confidentiality and data integrity within electronic case management systems.
Strong critical thinking, problem-solving, and time management skills.
Professional demeanor and commitment to teamwork.
Bilingual (English/Spanish) preferred.

Skills Required

Compensation:

$45,000-$55, 000
