We’re Hiring: Office Assistant | Stanfield & Dupre, PLLC – The Woodlands, TX
Stanfield & Dupre, PLLC is seeking a highly organized and personable Office Assistant to serve as the first point of contact for clients and support our attorneys and staff with day-to-day office operations. This role is essential to maintaining a professional, welcoming office environment and ensuring our client experience runs smoothly from the first call through scheduled consultations and appointments.
The ideal candidate is professional, detail-oriented, and comfortable managing multiple administrative responsibilities in a fast-paced environment. You should enjoy interacting with clients, coordinating schedules, and helping keep office systems organized and efficient. This position works closely with the Office Manager, attorneys, paralegals, and legal assistants to support the firm’s daily operations while maintaining a positive and professional front office experience.

What You'll Do:
As the Office Assistant, you will serve as the first point of contact for clients while supporting the administrative and operational needs of the firm. Responsibilities include, but are not limited to:
Greet clients and visitors while maintaining a professional and welcoming front office environment
Answer and route incoming phone calls
Schedule consultations and signing appointments while managing attorney and staff calendars
Enter and track new leads in the firm’s CRM system
Follow up with prospective clients regarding consultations and next steps
Maintain accurate client records in systems such as MyCase
Scan, organize, and maintain client documents and files
Prepare materials for signing appointments
Ensure signed documents are properly distributed and filed
Process incoming and outgoing mail
Monitor office supplies and assist with ordering when needed
Prepare meeting rooms for client appointments
Support attorneys, paralegals, and staff with administrative tasks as needed

Ideal candidates will have:
Prior office administration or front desk experience
Legal office experience preferred but not required
Strong communication and client service skills
Excellent organization and attention to detail
Ability to manage multiple tasks and deadlines in a fast-paced environment
Proficiency with Microsoft Office (Word, Outlook, Excel)
Familiarity with MyCase or similar legal CRM systems is a plus
A professional demeanor and ability to handle confidential client information with discretion
Successful candidates are proactive, reliable, and comfortable working collaboratively within a professional, client-focused team.
