Client Relations Specialist
This position serves as the centralized point of contact for all individuals entering Children’s Safe Harbor, including clients, multidisciplinary partners, volunteers, and other community members. As the first point of contact, this individual sets the tone for a welcoming, professional and safe environment. This role focuses on front-facing hospitality, visitor management, volunteer coordination, and administrative support that ensure the facility operates seamlessly for staff, clients, and partners. This position plays a central part in ensuring smooth daily operations and ensuring the integrity of our client services and facility.
Major Duties Include:
Client & Community Relations
● Serve as the first point of contact for clients, caregivers, partners, and community visitors, ensuring a safe, supportive, and trauma-informed welcome.
● Administer and monitor visitor check-in, verify credentials, and connect individuals to appropriate staff or services via CSH’s Visitor Management System.
● Maintain accurate visitor logs, confidentiality agreements, and security protocols in collaboration with the Facilities Director.
● Uphold HIPAA compliance and maintain confidentiality of all client information.
● Support communication with vendors, couriers, and volunteers regarding front-desk and facility-related matters.
● Build and maintain positive relationships with volunteers, creating meaningful opportunities that align with CSH’s mission and the Facilities Director’s operational priorities.
● Help coordinate volunteer involvement in daily activities and facility events, under the guidance of the Facilities Director.
● Provide orientation and support to volunteers to ensure alignment with trauma-informed and child-friendly practices.
Administrative & Facility Support
• Assist the Facilities Director by sorting and tracking mail, and operational supplies.
• Provide administrative support for scheduling, visitor communication, and vendor coordination as directed by the Facilities Director.
• Enter and maintain accurate service and visitor data in designated databases.
• Serve as a communication bridge between visitors, staff, and the Facilities Department to address daily operational needs.
● Other job duties as assigned
Safety & Compliance Support
● Uphold security and confidentiality protocols to maintain a safe facility environment.
● Assist the Facilities Director with ensuring that safety standards and protocols are consistently followed at the client-facing level.
● Support staff in crisis situations by calmly directing visitors and ensuring safe client movement through the facility.
Qualifications
● High school diploma or equivalent required; associate’s or bachelor’s degree in social services, psychology, or related field preferred.
● Prior experience working with children, families, or in a client services role strongly preferred.
● Strong interpersonal, communication, and crisis management skills.
● Ability to work collaboratively within a multidisciplinary team.
● Knowledge of trauma-informed care principles preferred.
● Bilingual (English/Spanish) preferred.
