Job Description

● Senior Pastor Support:
o Proactively manage and maintain the Senior Pastor's complex calendar, including scheduling appointments, meetings, and travel arrangements.
o Screen and prioritize incoming communications (emails, phone calls, mail), drafting responses, and ensuring timely follow-up.
o Prepare and organize materials for meetings, presentations, sermons, and other engagements.
o Act as a primary point of contact for internal and external stakeholders interacting with the Senior Pastor's office.
● Church Operations & Administration:
o Building Use Contracts: Oversee the complete process for building use requests, including drafting, issuing, tracking, and managing contracts for all internal and external facility usage, ensuring compliance with church policies.
o Contributions/Donations Management: Accurately record and manage contributions and donations using the church's financial software (F1/Planning Center), ensuring proper categorization and reporting.
o Database Oversight: Maintain the integrity and accuracy of the church's membership database, ensuring consistent data entry and efficient retrieval of information.
o Safe Sanctuary Oversight: Assist in the administration and maintenance of Safe Sanctuary policies and procedures, ensuring compliance and proper documentation.
o Stewardship Campaign Support: Provide comprehensive administrative support for annual stewardship campaigns, including donor communications, data management, and event coordination.
o Dashboard Management: Create, update, and maintain various operational dashboards and reports to provide the Senior Pastor with real-time insights into key church metrics and activities.
● Protocol & Policy Adherence:
o Proactively monitor and ensure adherence to established church protocols, policies, and procedures across various departments and staff interactions.
o Identify potential deviations from policies and diplomatically guide others toward compliance.
● General Administrative Duties:
o Maintain organized physical and digital filing systems.
o Order and manage office supplies for the Senior Pastor's office.
o Assist with special projects and initiatives as assigned by the Senior Pastor.

Skills Required

o Expert proficiency in Microsoft Outlook
o Advanced proficiency in Microsoft Excel
o Ability to quickly learn and master new software platforms, specifically Planning Center Online.
o Excellent oral communication skills,
