Job Description

We are seeking a reliable, compassionate, and detail-oriented Front Office Closer to join our outpatient psychiatric clinic. This role plays a crucial part in the smooth daily operations of the front desk and is responsible for end-of-day administrative tasks including patient check-out, co-pay reconciliation, scheduling, documentation closure, and securing sensitive data.

Key Responsibilities:

Patient Interaction & Front Desk Duties
* Greet patients warmly and professionally upon arrival and departure
* Check-in and check-out patients using EHR software
* Collect co-pays and process payments accurately
* Answer phone calls, route messages, and respond to voicemails
* Schedule follow-up appointments, scheduling

End-of-Day & Closing Responsibilities
* Ensure all documentation is properly scanned/uploaded and charts are complete
* Follow up on missed appointments or next-day prep
* Secure all confidential files and ensure HIPAA compliance before closing
* Lock up the office, check security systems, and set alarms as needed

Administrative Support
* Maintain an organized and clean reception area
* Assist clinicians with light clerical duties
* Report any office issues or patient concerns to the Office Manager

Qualifications:
* High school diploma or equivalent required; associate degree or medical office certification preferred
* 1+ year of front desk experience in a medical or behavioral health setting strongly preferred
* Working knowledge of EHR systems (e.g., Athena, Kareo, SimplePractice)
* Familiarity with HIPAA and patient confidentiality
* Strong organizational and multitasking skills
* Excellent verbal and written communication
* Compassionate, calm, and professional demeanor under pressure

Work Hours:
* This role is primarily for afternoon/evening shifts, typically ending after the last patient and final office closing tasks are complete.
