Job Description

Hours
• Full-time
• Monday – Friday
• 8:30am – 5pm

List of Duties:

As the Administrative Assistant you will be expected to:


• Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
• Provides administrative support to Office Manager to ensure efficient office operations.
• Maintains physical and digital filing systems.
• Responds to emails and other digital queries and correspondence.
• Manages calendars for Admin and Showrooms as needed.
• Drafts and edits letters, reports, and other documents.
• Inputs and updates information in databases and spreadsheets.
• Receives and posts bills to QuickBooks.
• Gathers and checks timesheets weekly.
• Coordinates logistics for company gatherings, including room setup and catering.
• Works with outside vendors to ensure office equipment is in good working order and office supplies are always on hand.
• Researches as requested and compiles and summarizes information for purchases for equipment, supplies, etc.
• Helps coordinate maintenance and repairs for fleet trucks as needed.
• Works closely with other administrative staff and supports other colleagues as needed.
• Presents a positive and professional image for the organization.

Skills Required

• Digital literacy and research skills, including the ability to analyze the reliability of information.
• Exceptional interpersonal, written, and verbal communication skills to foster good working relationships within Texas Pools, and with clients, contractors, and vendors
• Ability to represent the firm in a professional manner
• Knowledge of Microsoft Office and QuickBooks
• Time management, multitasking, and flexibility a must
